These terms and conditions relate to courses provided by Nuffield Department of Population Health (NDPH), including health data science courses run as part of the Big Data Institute (BDI).

At the time of booking participants must confirm that they agree to our terms and conditions. In booking a place on this course, you agree to

  • arrive on time
  • complete pre-course reading/activity if applicable
  • install any software required for online classes if applicable, so you are ready to learn
  • attend the whole course.

Eligibility

Most courses provided by NDPH are only for current members of the department. Some courses (e.g. health data science courses) are arranged in partnership with other departments and are open to everyone. This will be explicitly stated in the course information.

Participants should make sure they have the necessary approvals to attend the training as per the NDPH Training Policy or their own departmental policy for courses open to staff or students outside NDPH.

Communications

All communications including the booking confirmation and joining instructions will be sent to the email address registered on the participant's Oxford Single Sign On.

Cancellation of your place on the course

If you no longer require your place on this course, please cancel the session online with at least three working days’ notice. We try to fill any cancelled places and can often do so when we have at least three working days’ notice. It is more difficult to fill places if less notice is given.

Participants can manage their bookings online using their Cosy dashboard

Waiting lists

If a course is full you can join a waiting list. Please cancel your waiting list place if it is no longer required.

Applicants will be contacted by email if a place becomes available. Places sometimes become available at short notice due to late cancellation by participants. We regret, that last minute notification of a course place may not be helpful.

Accessibility

NDPH aims to make reasonable adjustments, where possible, for anyone with a disability or condition, to support them to access our sessions. Please provide relevant information as part of the booking process.

Attendance

You are expected to complete the whole course, however if you are unable to stay for the duration of the course this should be discussed with the trainer.

Courses start promptly at the advertised time. Please allow adequate time to join face-to-face and online courses ahead of the start time. For online courses, you are expected to have installed any software required, ahead of the session so that you are ready to learn.

The course location is stated in the course description and in the confirmation and reminder emails. Online courses are usually delivered via Microsoft Teams but other platforms may be used. This will be advised at the time of booking.

Refreshments and lunch

Refreshments and lunch are usually not provided unless stated.

Missed sessions

For multi-session courses, you must attend all sessions. Any certificates will be emailed after the final session provided you have attended all the sessions.

Certificates

A certificate will usually be emailed automatically after the course, once you’ve completed the course feedback survey. We cannot offer replacement course attendance certificates.

Privacy/Data Protection

Any personal details given to the course providers will be processed in accordance with the University's Privacy Policy. They will be held on the course booking system and database and not used for any other purpose than enabling us to organise, monitor, evaluate and report on our course provision.

Video and Audio Recording

NDPH may make recordings of online courses for educational use or accessibility reasons. For online courses - the recording will include what appears on the screen, the audio stream and content of the chat panel. A recording for accessibility reasons will only be available to the person who has requested it for a limited time.

Participants will be made aware of any recording in the course information at the time of booking and at the start of the session.

Participants must not record courses (face to face or online) without prior consent of the course providers and trainers.
